Search Strategy
- Search across all accessible locations first when the connected platform supports it (Microsoft Graph search can search accessible SharePoint and OneDrive without a site filter)
- Scope to the likely location when the request names a team, region, site, or folder, or when global results need narrowing
- Browse the document library if search doesn't find it
- Check common shared folders — most platforms have a primary "Shared" or "General" library
Search Tips by Platform
SharePoint
- Use the search bar at the top of any SharePoint site
- Filter by file type (Word, PDF, PowerPoint) to narrow results
- Check "Recent" files if you know the document was recently modified
Google Drive
- Use
in:[folder name]operators to scope search - Filter by file type and date modified
- Check "Shared with me" if the file isn't in your own drive
Notion
- Use the search command (Cmd+K / Ctrl+K)
- Browse the sidebar by workspace section
Process
- Ask what document or information is needed
- Identify the most likely location based on the topic
- Search or browse for the document
- Return the document link or content
- If not found, suggest alternative locations or who might know where it is
