Meeting Preparation
Process
Step 1: Identify the Meeting
- Meeting name, date, time
- Attendees (names and organizations)
- Agenda or topic (if available)
Step 2: Gather Context
For each key attendee, collect:
- Role & organization — web search if not already known
- Relationship to [YOUR ORGANIZATION] — [member/client/prospect/partner/board?]
- Recent interactions — check email for recent correspondence
- Open action items — any pending tasks involving them or their organization
- Past meeting notes — prior meeting notes or call logs if accessible
For the meeting topic:
- Related [YOUR ORGANIZATION] programs — which initiatives or research is relevant?
- Recent developments — web search for relevant industry news
- Internal context — check [YOUR DOCUMENT STORAGE] for relevant documents
Step 3: Build the Brief
Structure the output as:
