Voice Definition Template

Before writing, confirm the brand voice:

VOICE: [adjective], [adjective], [adjective]
TONE: [how it feels]
LANGUAGE: [British/American English]
AVOID: [what the brand never does]
SIGN-OFF: [how content ends]

Example:

VOICE: Authoritative, approachable, slightly irreverent
TONE: Like a knowledgeable friend who's genuinely trying to help
LANGUAGE: British English
AVOID: Corporate jargon, excessive exclamation marks, filler phrases, "In today's fast-paced world"
SIGN-OFF: End with a CTA linking to a specific resource

Consistency Checks

Before publishing any content:

  1. Voice match — does this sound like the brand, or like generic AI?
  2. Forbidden phrases — scan for banned words/patterns
  3. CTA present — does it end with a clear action?
  4. Tone appropriate — matches the channel (LinkedIn = more professional, Twitter = more punchy)
  5. Language — correct English variant (British vs American spelling)

Common AI Voice Problems

These are signs the content needs human editing:

  • "In today's rapidly evolving landscape..." → generic, say something specific
  • "It's important to note that..." → just say the thing
  • "Let's dive in!" → forced enthusiasm
  • Starting with "Absolutely!" or "Great question!" → sycophantic
  • "Hope this helps!" → weak ending, replace with specific CTA
  • Using 10 adjectives when 2 would do → edit for density

Brand-Specific Customisation

Add your brand's specifics:

  • Approved fonts and colours (for visual content)
  • Logo usage rules
  • Photography style (if applicable)
  • Competitor mentions policy
  • Sensitivity topics to avoid
