Clear writing

Clarity is the writer doing the reader's work in advance. Every sentence the reader has to re-read is a small failure; the craft is removing the friction between your meaning and their understanding.

Method

  1. Lead with the point. State the main idea first, then support it. Readers should not have to reach the end to learn what a paragraph was about. Bury the conclusion and half your readers never find it (see exec-one-pager's bottom-line-up-front for the high-stakes version).
  2. Prefer plain words to impressive ones. "Use" over "utilize", "buy" over "purchase", "help" over "facilitate". Jargon and inflated vocabulary signal effort, not intelligence; the clearest writing uses the simplest word that is exact. Cut the word nobody would say aloud.
  3. One idea per sentence. A sentence carrying three clauses and two asides makes the reader hold too much at once. Break it. Short sentences for key points; vary length for rhythm, but when meaning is dense, split.
  4. Use concrete nouns and strong verbs. "The team shipped the fix" beats "an implementation of the correction was carried out by the relevant personnel". Name the actor, use the active voice, let the verb do the work. Abstraction and passive voice hide who does what.
  5. Cut the words that carry nothing. "In order to" (to), "the fact that" (that), "at this point in time" (now), throat-clearing openers ("It is important to note that"). Every deleted filler word makes the real words louder (see concise-writing).
  6. Read it aloud. The ear catches what the eye skims: the sentence that runs out of breath, the clunky phrase, the ambiguous pronoun. If you stumble reading it, the reader will too.

Boundaries

  • Clarity is not dumbing down; precise technical writing for experts is still clear writing, using the field's real terms exactly (see technical-writing, audience-adaptation).
  • Some genres reward a richer voice (narrative, persuasion); clarity is the floor everywhere, not a ceiling on style (see voice-and-tone, narrative-craft).
  • Clarity cannot rescue muddled thinking: if a sentence is hard to write clearly, the underlying idea is often unclear, so fix the thought, not just the words.
